Glossary of Terms

This glossary explains the terminology used across the Ashenvarra website and platform interface. It is intended to help users understand how specific words are used in context, without assuming prior familiarity with the service.

The terms below are listed in the order in which they are likely to be encountered when using the service. Not all terms appear on every page; the glossary covers vocabulary used across the website as a whole.

Information-organisation service
The category of service that Ashenvarra belongs to. An information-organisation service receives, classifies, and presents information in a structured format. It does not generate source data, but arranges existing records in a way that makes them easier to locate and read. The Ashenvarra platform is described as an information-organisation service throughout this website.
Record
A discrete item of information held within the platform. A record may represent a submitted enquiry, a status update, a reference document, or another item that has been associated with a user's request. Records are displayed within the relevant section of the interface and are not shared across different user accounts.
Section
A named area of the platform interface that groups records of the same category. For example, a section might contain the history of submitted requests, or a set of reference documents linked to an enquiry. Users navigate between sections using the navigation panel. Not all sections are visible to every user; the sections displayed depend on the content of a specific enquiry.
Enquiry
A message submitted to the Ashenvarra support team through the contact form on the enquiry page. An enquiry may describe what a user is looking for, ask a question about the service, or request access to records. All enquiries are reviewed by a member of the support team before a response is provided.
Access request
A type of enquiry in which a user specifically asks for access to records held within the platform. An access request is reviewed in the same way as any other enquiry. The outcome of the review determines which records, if any, are made visible within the user's interface view.
Review process
The internal process by which the Ashenvarra support team examines a submitted enquiry and determines the appropriate response. The review process includes reading the submission, identifying any relevant records, and, where necessary, contacting the user for clarification. The duration of the review depends on the nature of the enquiry and the current volume of submissions.
Structured display
The format in which records are presented within the platform. A structured display organises records using a consistent layout: each record has a defined header, a date or reference marker, and a body section. This format remains the same regardless of the type of record being shown, so users can quickly locate the information they need within any section.
Navigation panel
The persistent sidebar within the platform interface that lists the sections available to the current user. The navigation panel shows which section is currently active and allows users to move between sections without reloading the page or losing their position within a record set.
Support team
The Ashenvarra staff members responsible for reviewing enquiries, identifying records, and responding to user messages. The support team can be contacted at [email protected] or by telephone at +44 161 492 0837. The team may also initiate contact with users when clarification is needed during a review.
Intended design
A phrase used on this website to indicate that a described capability or process reflects how the platform is planned and built to function, rather than a verified outcome in any particular user's case. Descriptions of intended design are provided to give users a reliable general understanding of the service, while acknowledging that individual results depend on the specifics of each enquiry.
Reference material
A document or other item that has been linked to a user's enquiry and made accessible through the platform. Reference materials are placed in a dedicated section of the interface. They are associated with a specific enquiry rather than made available generally, and they supplement the primary records visible in other sections.
